Managing Client Statuses

Use client statuses to keep your client list organized and reflect the current stage of each relationship. This helps you stay focused on active work while maintaining clear records of prospects and inactive accounts.

Why it matters

Managing client statuses allows you to:

  • Prioritize current work

  • Keep prospecting efforts organized

  • Maintain historical records for inactive clients

Understanding client statuses

There are three status options available:

  • Prospect: Use this for leads or potential clients who do not have any active projects yet. Tip: Use the Prospect status to segment and track your lead pipeline separately from your current client work.

  • Active: Assign this status to clients with active projects. This is the default for clients you are currently working with.

  • Inactive: Use this for clients you are no longer working with or for prospects that did not convert. This keeps your account clean while preserving data for future reference.

How to update a client's status

  1. Go to the Clients tab.

  2. Find the client whose status you want to change.

  3. Click the Status drop-down next to their name. (You can also navigate the client profile and adjust the status from this screen too.)

  4. Select the appropriate status: Prospect, Active, or Inactive.

The new status will be applied immediately.

Critical Warning: Changing a client’s status from Active to Inactive will archive all projects and tasks associated with that client. You can restore them later if needed, but they will no longer be visible in active views.
