Creating a New Project

Create a new project to start organizing your client work

Use the Projects tab to create and manage client work. Setting up a new project correctly ensures accurate time tracking and billing.

Why it matters

Creating a new project with the right settings helps you:

  • Track work clearly and professionally

  • Bill accurately based on your chosen pricing model

  • Keep internal and client-facing tasks organized

Steps to create a new project

1. Open the New Project modal

  1. Navigate to the Projects tab.

  2. Click the New Project button:

    • In the upper right-hand corner, if you already have projects

    • In the middle of the screen, if this is your first project

2. Enter project details

In the New Project modal:

  1. Enter a unique project name.

  2. Select the Client the project is assigned to.

  3. Set the Start Date.

  4. Optionally, set an End Date for projects with a planned completion.

3. Choose your project type

Select how you want to bill the client for this project. Note: The Project Type is locked after project creation. Choose carefully based on your billing approach.

  • Retainer: Ideal for long-term client work with a set monthly or recurring budget.

  • Hourly: Best for flexible-scope projects without a fixed budget. Suitable for both one-time and recurring work.

  • Fixed Fee: Use when the project has a single set price. You can still track time, but hours will not impact billing.

  • Non-billable: For internal work or non-client tasks. Not recommended for client deliverables.

4. Set your rates

Depending on the project type, enter the relevant hourly rate, retainer amount, or fixed fee. You will be able to update your default rate for this project later.

5. Save and view your project

Click Create Project to save. Your new project will now appear in the Projects dashboard.

  • New projects are created with the status Planning.

  • When ready to begin work, update the status to Active to begin tracking time and tasks.
