Managing Client Notes

Explore how to keep client notes updated and organized

Client notes help you store key information about billing preferences, work schedules, communication styles, and client history. Shrlock makes it easy to edit, pin, archive, and delete these notes so your records stay clean and useful.

Why it matters

Managing client notes ensures that:

  • Critical client details are easy to access

  • Outdated notes do not clutter your view

  • You maintain a consistent and accurate client record

Accessing client notes

  1. Go to the Clients tab.

  2. Select a client from your list.

  3. Navigate to the Notes tab within the Client Profile.

    • You will see all Active notes here

    • Archived notes are hidden by default (explained below)

Managing existing notes

To manage a note:

  1. In the Notes tab, click the three dots next to the note you want to update.

  2. Choose an action from the menu:

  • Edit Note: Change the note's title or description.

  • Pin Note: Moves the note to the top of the list and displays it in the Client Profile’s main dashboard.

  • Archive Note: Moves the note out of the active list. It is hidden from default view but kept for your records.

  • Delete Note: Permanently removes the note from the system.

Tip: Use pinned notes to keep key client info like preferences, contacts, or billing terms always visible.

Viewing archived notes

Archived notes are hidden from the default view to reduce clutter. To view them:

  1. Navigate to the Notes tab within the Client Profile.

  2. Click the filter dropdown that defaults to "Active".

  3. Select Archived to reveal all archived notes for the client.

This allows you to access old notes without mixing them into your active workflow.
